For companies · Monthly retainer

Your import and export paperwork handled every month — one desk, one manager

Every import payment, every export receipt and every bank question has a document trail that must match: proforma, invoice, GTİP, customs declaration, İBKB. The desk keeps that trail complete month after month, answers the bank without limit and coordinates your customs broker and SMMM so no deadline is missed.

Who this is for

Importer paying suppliers abroad

Several payments a month in different forms — advance, open account, letter of credit — each needing a bank file that matches the customs declaration.

Exporter with receivables in several currencies

Proceeds must reach a Turkish bank within 180 days of the actual export date and be closed with an İBKB or DAB; the 35 percent sale rule applies until 31 January 2027.

Trading company with a foreign shareholder

The bank asks more questions than usual. You need a desk that answers each one in writing, with the documents attached, the same day.

What you have at the end

Each month you receive a closed file: every import payment documented in the form the Import Circular requires, every export shipment tracked against its 180th day and closed with İBKB or DAB, every bank request answered in writing with evidence attached, counterparties screened before the first invoice, and the customs broker and SMMM supplied with what they need for declarations and the KDV refund. A monthly report shows open items, deadlines and what we recommend next.

How the work runs

1

Week 1 · Onboarding

We take over your trade flows: active contracts, open export accounts, pending import payments, bank relationships, customs broker and SMMM contacts. You receive the compliance calendar and the document templates.

2

Weeks 2–4 · First cycle

Each payment and shipment runs through the desk: documents matched, cover letter written, transfer ordered before cut-off, İBKB/DAB requested on receipt. Bank questions are answered the same day.

3

Monthly · Report and review

On the first working days of the month you receive the report: closed files, open export accounts and days remaining, bank requests, KDV refund status with the SMMM, recommendations.

4

Quarterly · Process review

We review with you which banks, payment forms and counterparties caused friction, update the templates and the calendar, and align with the customs broker and SMMM on the next quarter.

What stays outside the package

  • Payments, holding or moving client money — your bank executes; we never touch funds

  • Legal opinions and representation before authorities — your lawyer
  • Collecting money from buyers — we document the delay; recovery stays with you and your lawyer

Questions

What happens if export proceeds are late?

After 180 days from the actual export date the bank reports the open account to the tax office within five business days, and the tax office gives 90 days. Extensions exist for force majeure and documented obstacles. The desk flags the 150th day, assembles the evidence pack and prepares the extension request.

Does the desk replace our customs broker or accountant?

No. Declarations stay with your licensed customs broker, books and the KDV refund application with your SMMM. The desk gives both of them complete, matched documents on time and keeps one calendar so that bank, customs and tax deadlines do not collide.

Which documents does the bank need for an import payment?

It depends on the form under Import Circular 2020/1: proforma for advance payment; commercial invoice, packing list, transport document and customs declaration for open account; bank-channelled documents for cash against documents and letters of credit. Every file carries the GTİP, the Incoterms 2020 rule and a one-page Turkish cover letter.

How do you handle a bank request?

You forward the letter. Within 48 hours you receive the classification (compliance request or e-haciz), the document list with every amount matched to evidence, Turkish translations where required and the cover letter, ready to submit through the channel the bank names. The bank decides.
