How recent must foreign documents be? Validity periods

A certificate can be genuine and still be turned away because it was issued too long ago. This guide explains how to find out the age limit that applies to your case and how to order the steps so the document is still recent when it is submitted.

Why the issue date matters

Civil-status extracts, criminal-record certificates and similar documents describe a situation on the day they were issued. Offices therefore often ask for a recently issued original, and an older one may be refused even if nothing has changed. The age limit is not the same everywhere and can differ by office and purpose.

Who sets the age limit

The limit comes from the receiving office or from its published requirements, not from the country that issued the document and not from a translator. For residence-permit matters check the requirements published by the migration authority and the instructions you receive for your appointment. For other offices ask them in writing and keep the answer.

Count from the right date

Find out whether the office counts from the issue date of the original, the date of the apostille, the date of the translation or the date of submission. These can be weeks apart. Ask which date applies before you start, because it decides how much time you have for the later steps.

What we do not do. ROSTU is not a notary or a law firm and does not issue foreign documents or set validity periods. We organise apostille, translation and the notarial step, list the dates for you and flag documents that may be too old. The receiving office decides whether a document is accepted.

Plan the order of steps

A typical order is: obtain the original, apostille where it applies, translation, notarial attestation of the translator signature, submission. Each step takes time, and postal delivery from abroad adds more. Order the document late enough to stay within the limit and early enough to leave a reserve for a correction.

When one document expires first

If you need several documents from different countries, the oldest one sets the deadline. List them with their issue dates, mark the earliest expiry and, if a case can slip, re-order that one rather than the whole set.

Questions

Is there one validity period for all documents?

No. It depends on the document, the office and the purpose. Check the requirement of the office that will receive the file.

Does the apostille extend the validity?

No. The apostille confirms the signature or seal; it does not make an old document recent.

Can I reuse a translation for a new original?

Usually not: a translation belongs to the document it was made from. A new original normally needs its own translation.
